APPLICATION PROCESS
(FOR PRIVATE CROSSINGS)

 

WHAT YOU'LL NEED (IMPORTANT!)

To avoid delays, please ensure your application includes:

  • Aerial map depicting the location of the proposed crossing area
  • Copies of any construction plans related to the installation or modification of the private road crossing
  • Latitude and Longitude (in decimal format) relative to the location of the private road crossing
  • Copies of any related agreements pertaining to the crossing (if any).

 

Any incomplete applications may be rejected.




WHAT TO EXPECT AFTER YOU APPLY
After you submit your application online, the primary contact listed on the application will receive an email confirming receipt and providing a File ID.

To help us process your request as quickly as possible:

  • Reply to the email you receive and attach any supporting documents (maps, engineering plans, existing agreements, etc. in PDF, Excel or Word formats).
  • Include your File ID in the subject line of all email correspondence.
  • Submit all documents together in one email reply. Duplicate and/or multiple submissions may delay processing!

 



COMMUNICATION


 


REVIEW & APPROVAL PROCESS (HIGH-LEVEL)

  • Submission of an application does not guarantee approval.
  • Once approval is secured, a Grade Crossing Agreement will be drafted and forwarded to the applicant for signature.
  • The Agreement will outline the conditions and terms of the crossing, as well as insurance requirements. In cases involving construction activity, a separate Contractor’s Right of Entry Agreement may be required along with Railroad Protective Liability Insurance.  To learn more about Right of Entry Agreement processing and insurance requirements, please visit this page.
  • The first-year annual fee payment, maintenance fee payments (if applicable) and proof of insurance will be required prior to execution of the agreement on behalf of the railroad. 
  • The applicant/lessee is responsible for any upgrades, installations, or related charges required to bring a crossing into compliance with G&W engineering specifications.




PROCESSING TIMES
The standard processing time for private grade crossings typically takes 6-8 weeks. Expedited processing is not available for private crossing applications at this time.


 

ACCESS REMINDER
You must have a Right of Entry permit and/or a fully executed agreement to enter or use railroad property. To learn more about Right of Entry Agreement processing, please visit this page.

FEES & PAYMENTS

TYPICAL FEE SCHEDULE 

  • Application / Review Fee: $1,000 (non-refundable)
  • Private Crossing Engineering Review Fee: $2,250 (non-refundable)


Please do not submit fees at the time you apply. After the initial review, we will confirm the services required for your application and send an invoice with payment instructions.
